Finalise a pay run
Finalise a reviewed pay run to lock its attendance, leave, fines and amounts, then publish payslips and record payments. A finalised run cannot change.
On this page
Finalise
- Open the run on Payroll. Its status must be In review.
- Select Finalise. A window asks Finalise the month pay run? and lists what will be locked.
- If the month has not ended yet, tick I understand that the days after today are locked too. Those days are paid as computed today, and nobody can punch in, apply for leave or change attendance on them.
- Select Finalise the run.
The status becomes Finalised. If attendance changed after the run was computed, finalising is refused: select Compute again, then finalise.
What finalising changes
- Attendance, leave and fines in the period are locked for the staff in the run. The attendance page shows the days as Locked by payroll, and changes to them are refused.
- Salaries used by the run are marked Used by a finalised pay run.
- Payslips get their numbers. Staff see them only after you publish them.
- Staff on hold are not paid by this run, and their pay is not carried to a later run.
There is no way to reopen a finalised run, and X does not work out arrears or recoveries for a closed month. If you find a mistake later, put it right in a later month with a one-time earning or deduction. See Add one-time earnings and deductions.
After you finalise
- Publish the payslips so staff can see them.
- Pay your staff yourself, then record the payments.
- If you pay by bank transfer, download the bank advice.
