Staff without a salary are held out of pay runs. Set one before your first run. Work-basis staff are the exception: they need no salary, because the pay run pays their approved work entries. See Pay staff for piece-rate work.

Open the salary

Go to Salary → Staff salaries and select Open next to the person. You can also open the Salary tab on their staff profile.

Set the salary

  1. Under Set salary, choose a Template, or No template.
  2. Pick the date in Effective from.
  3. Check the Staff type.
  4. In Amount is, choose what you are entering: Monthly gross, Annual CTC, Daily rate, Hourly rate or Component amounts.
  5. Enter the Amount (₹).
  6. Select Preview to see the Breakup preview: every line, Gross a month, Deductions a month, Employer contributions a month, CTC a month, CTC a year and Take-home a month.
  7. Select Save.

Income tax is worked out in the pay run from the year so far, so it is not in this estimate.

For daily, hourly and per-work pay, the monthly figures are labelled Estimated, because pay follows the days, hours or work of each month. A daily rate is estimated for this month with every working day present, and an hourly rate with every working day present for 8 hours. The Current salary card shows the Rate as you entered it, for example ₹800.00 a day or ₹120.00 an hour.

Revise a salary

  1. Open the salary and use Revise salary.
  2. Enter the new amount, or fill in Or raise the current salary by (%).
  3. Pick the Effective from date and add a Reason.
  4. Select Save.

If your payroll settings say Salary revisions need approval, the revision waits in Approvals and the page says so.

History

Revision history lists every salary with its dates, its rate as entered (a month, a day, an hour, CTC a year, or paid per work entry) and its reason. A salary used by a finalised pay run is marked Used by a finalised pay run and cannot be deleted.

You need the Revise salaries permission.

Questions

Why is my estimate missing PF or ESI?

If a statutory item's data is still pending verification, the preview says it is not computed yet for that item. See the article on what statutory payroll computes.

Can a revision start in a month that is already paid?

No. A revision cannot start inside a pay period whose run is finalised. Start it from the next period.
