See a staff member's pay by month
See each month of a financial year on a staff profile, with its pay run status, earnings, deductions, net pay, paid, due and the payslip.
Open the staff member's profile from Staff and select the Pay by month tab. You need the View payroll permission; the payslip link also needs View payslips.
Choose the year
Pick the Financial year (April to March) and select Show. The list starts at the year the staff member joined.
Totals for the year
Earnings, Deductions, Net pay, Paid and Due for the year. Only final figures count: months whose pay run is finalised and that pay this staff member. Draft and held months are not counted, the same rule the payslip uses for its year-to-date figures.
One card for each month
Each month, April first, shows its status:
- No pay run: there is no pay run for the month yet.
- Draft: the pay run is not finalised. Its figures are labelled draft and can still change.
- Finalised: the pay is final and not fully paid yet. Partly paid when some of it is recorded as paid.
- Paid: the payments recorded against the run cover the net pay.
- On hold: the staff member's pay is held in the finalised run. It is not paid by that run and not counted in the totals.
- Not paid this month: the finalised run does not pay this staff member, for example before they joined.
When the run has worked out the staff member's pay, the card shows Earnings, Deductions, Net pay, and the Payable days and LOP days. Once the month is final it also shows Paid and Due (net pay minus payments recorded against that run).
Use Open pay run to go to the run, and the Payslip button to download the published payslip. To record a payment, see Record salary payments.
Questions
Why are some months left out of the totals?
The totals count final figures only. A draft run can still change, and pay on hold is not paid by its run, so neither is counted. The totals match the year-to-date figures on the payslip.
Why is there no payslip link for a finalised month?
The payslip shows here once it is published. Open the pay run and publish its payslips.
