X keeps a record of what you paid. It does not move money.

Record a whole run as paid

  1. Open the finalised run on Payroll.
  2. Under Record the run as paid, pick Paid on, the Mode and, if you have one, the Reference (UTR, cheque number).
  3. Select Record the run as paid.

X records one payment for each staff member included, and the run's Payment column shows Paid.

Record one payment

  1. Go to Payroll → Payments.
  2. Under Record a payment, choose the Staff member.
  3. In For, choose Salary, Advance, Bonus, Full and final, Loan or Reimbursement.
  4. Choose the Pay run, or Not for a pay run.
  5. Enter the Amount (₹), Paid on, Mode and Reference, and a Note if you like.
  6. Select Save.

Modes are Cash, Bank transfer, UPI, Cheque and Other.

A payment record does not change any pay run. Recording an Advance or a Loan does not set up a recovery from later salaries: to recover it, add a monthly deduction under Earnings and deductions. See Add one-time earnings and deductions. The wage register shows such a deduction under Advances and loans only if its component has the code ADVANCE_RECOVERY or LOAN_RECOVERY; otherwise it is under Other deductions.

See payments

Salary payments lists every payment with its Date, Staff, Kind, Period, Amount, Mode, Reference and who recorded it. A run paid for some staff but not all shows Partly paid.

You need the Record salary payments permission.

Questions

Does recording a payment pay my staff?

No. X records payments; it does not move money. Pay through your bank, UPI, cash or cheque first, then record it.
