Mark attendance for a day
Use the daily attendance page to mark staff present, half day or absent, enter in and out times, put someone on leave and add a note.
On this page
The Attendance page shows one day for everyone you can see. It opens on today.
Pick the day and the people
- Go to Attendance.
- Use Previous day and Next day, or pick a Date.
- To find someone, type a name, phone or employee code in Search staff, choose a status if you like, and select Apply.
The tiles at the top count Total staff, Present, Absent, Half day, On leave, Not marked, Late, Overtime, Fines and Punched in / out. Someone on half day + half leave (HPL) counts 0.5 in Present and 0.5 in On leave, not in Half day, and their status reads HPL Half day + half leave, as in the muster roll. Someone with half a day of leave and nothing marked yet for the other half counts 0.5 in On leave and 0.5 in Not marked, and their status reads, for example, Half leave (CL) · other half not marked (PL/NM in the muster roll).
Mark one person quickly
Each row has three buttons under Mark:
| Button | Marks the day as |
|---|---|
| P | Present |
| HD | Half day |
| A | Absent |
The button for the current status is highlighted.
Enter in and out times
- Select More in the person's row.
- On the Present tab, enter the In time and, if your rule set needs a punch-out, the Out time.
- Select Save.
X works out late minutes, early exit and the hours worked from these times and the person's shift.
Days with approved leave
A day with approved leave has no P, HD or A buttons and cannot be picked for bulk marking: marking it would show the day as worked while the leave still used the balance.
- Half a day of leave: enter the In time and Out time of the half the person worked on the Present tab. The day becomes HPL Half day + half leave: half a day of leave used and half a day present. If the hours are less than the shift's half-day minimum, the day is a half day.
- A full day of leave, or to mark the day another way: first cancel the leave on the Leave page. Paid leave goes back to the balance, and you can then mark the day.
The other way round, leave cannot be added or approved over a day marked by hand. Select Remove manual marking for that day first.
Other day actions
The More window also has these tabs:
- Fine: add a fine. See Add a fine to a day.
- Overtime: add overtime hours. See Record and approve overtime.
- Leave: choose a leave type, or Weekly off, choose Full day, First half or Second half in Session, and select Save.
- Note: keep a note on the day.
- Logs: see every punch. See Read punch logs.
To undo what you marked, select Remove manual marking. The day goes back to what the punches and rules say.
You need the Mark and edit attendance permission.
Questions
Why can I not change a day?
The day shows "Locked by payroll" when it belongs to a finalised pay run, and it cannot be marked again. To settle a difference, add an earning or a deduction in the next month.
What does Recompute this day do?
It works out the day again from punches, shifts, rules, leave and holidays. Use it after you change a shift or a rule for a day that has already passed.
