Set up an attendance rule set
Decide how attendance is marked, whether a punch-out is needed, when unmarked days become absent, the location check, and who the rules apply to.
On this page
A rule set holds the attendance rules for a group of staff. Every business starts with a default rule set.
Open the rule sets
Go to Attendance → Rule sets. Each card shows the attendance mode, the rules turned on, the number of staff assigned and who created it. Select Edit, or fill in New rule set.
You need the Set up shifts and attendance rules permission.
Marking
| Setting | What it does |
|---|---|
| Attendance mode | Present by default, Marked by a manager or Staff punch with location |
| Shift when the roster has none | The shift used for people with no shift that day |
| Track in and out times | Keep punch times, not only a status |
| No attendance without a punch-out | A day with a punch-in but no punch-out is not counted as present |
| Allow several punches in a day | Staff may punch in and out more than once |
| Mark unmarked past days absent | Days left unmarked become absent once the day ends |
| Auto-approve pending items after (days) | Punches and overtime still waiting for approval after this many days are approved. Leave requests and salary revisions are never approved this way. Leave it empty to keep items waiting |
| Day ends at | When the attendance day closes. Empty means 23:59, or 4 hours after a night shift ends |
| Payroll counts unmarked days as absent | Days still not marked at payroll time are loss of pay |
X does not take a photo when staff punch, so there is no selfie mode to choose. A rule set saved with the selfie mode before shows Staff punch with location (selfie not available) and works like Staff punch with location.
The punch time is always the server's time when the punch arrives, not the phone's clock. A phone clock more than 5 minutes off is flagged in the punch logs. See Read punch logs.
Location
See Check punch locations with a geofence.
Late, early, breaks and overtime
See Late, early and break rules and Overtime and off-day rules.
The sandwich switch
Sandwich rule: an off day between two absences is unpaid makes a weekly off or holiday unpaid when the person was absent on both sides of it. See The sandwich rule.
Who it applies to
- Tick Default for staff without an assignment to make it the business default.
- Or use Assign a rule set: choose who it Applies to, the Rule set and the date Starting, then select Assign.
The Assignments table lists each assignment. Select Remove to end one. The most specific assignment wins. The default rule set cannot be deleted.
One person can also have their own Attendance marking on their staff profile, which overrides the rule set's mode.
