Credit

Each leave type in a policy has a Credited setting:

CreditedWhat happens
MonthlyOne twelfth of the year's days is added at the start of each month
All at onceThe whole year's days are added when the leave year starts
Not creditedNothing is added; balances change only when someone adjusts them

X adds credits automatically once a day, so a new month's leave appears early on the first day of the month.

Staff who join during the year

  • Monthly: credits start from the month of joining.
  • All at once: the credit can be cut down to the months left in the leave year, rounded to the half day.

The balance

A balance is what was credited, minus leave used, encashed or lapsed, plus any carry forward and adjustments. Staff see their balance with Used and Pending days on My leave. Leave waiting for approval counts as pending until it is decided.

Negative balance

If the policy allows a Negative balance, staff can apply for more than they have. They see a warning that the balance goes below zero. If it does not, the request is refused with "Not enough balance for these days."

Carry forward

At the end of a leave year, unused days up to Carry forward up to move into the next year. The rest lapse.

Note: The web pages have no step to close a leave year, so carry forward and lapse are not applied by themselves. At the start of a new leave year, set each staff member's balance by hand. See Set opening leave balances.
