Invite staff to self-service
Create a one-time invite link from a staff profile so the person can punch in, apply for leave and download payslips from their own phone browser.
Self-service lets staff see their own attendance, leave and payslips, and punch in where your rules allow it.
Before you start
- The staff member needs a Contact number on their profile. Without it, the invite page asks them to get their employer to add it.
- They need an email address they can open. To create their login, they enter it on the invite page, type the 6-digit code X sends to it, and choose a password. They then log in with that email, not with the phone number.
- Sending that code needs email to be set up for X. When it is not, the invite page says creating an account is not set up, and only people who already have a X login can accept.
Create the invite link
- Go to Staff and open the person's profile.
- Select Actions → Invite to the app.
- X shows an Invite link. Copy it and send it to the staff member, for example on WhatsApp.
The link works once and expires in 7 days. The person's App access in the staff list changes from Not invited to Invited, then to On the app once they accept.
If the link is lost or expired
Open the profile and select Actions → New invite link. To withdraw the invite, select Actions → Cancel invite.
Take access away
Select Actions → Remove app access on the profile. The staff record stays; only the person's self-service access ends.
What staff see after they accept: Accept your invite and log in.
Questions
Is there a phone app for staff?
No. Staff use X in their phone's browser. The self-service pages are made for a phone screen.
Can I send the invite by SMS or WhatsApp from X?
No. X does not send invites by SMS, WhatsApp or email, so copy the link and share it yourself.
